Salary/Compensation Statement:
  • Hourly wage reflects an approximate annual salary of $43,319 - $63,529
  • New employees may not be placed on the salary schedule higher than any current employee in this classification with the same or greater number of years' relevant experience.

Required QUALIFICATIONS

Required Education:
Associate Degree in accounting, finance or related field.
Required Experience:
Two (2) years of experience in grant accounting, fund accounting, accounts receivable, accounts payable, billing, payroll or related field.
Licensure or Certification Requirements
Conditions of Employment:

Preferred QUALIFICATIONS

Preferred Education
Bachelor's degree with coursework in accounting, finance, and/or bookkeeping.
Preferred Experience
  • Experience working with grant-funded programs.
  • Previous experience in higher education or other not for profit organizations in finance and budget management.
  • Accounting experience working with multiple funding sources.
  • Depth, breadth, and variety of experience using Excel or similar programs.
  • Office management experience.

Position Purpose:
This position assists with budget development and ongoing monitoring for the multiple grants that fund Quality Care Connections. This position also provides administrative support to staff, instructors and students.
Essential Functions:
Essential Functions

  • Review budgets of new contracts and recommend corrections if needed.
  • Submit contracts to grantors for execution.
  • Establish new contract budgets according to each contract.
  • Monitor and review financial transactions and budgets as required.
  • Create journal entries as needed for reconciliation of accounts.
  • Initiate expenditure allocations to grand fund accounts. Initiate budget change requests as needed.
  • Calculate salary projections for grant funded positions for the whole funding period and present the projections to the Program Director and Department Head.
  • Monitor payroll allocations and create journal entries as needed for reconciliation of payroll accounts.
  • Create payroll annual worksheets and PAF's for program employees.
  • Track expenditures, create purchase orders, process invoices, monitor revenues.
  • Review and process travel expense reimbursement requests, review p-card statements and expenditures.
  • Monitor Touch Net online payments.
  • Process vendor setup.
  • Oversee office supplies; order supplies, storage of equipment.
  • Oversee office equipment maintenance.
  • Create Megamation work requests when needed.
  • Submit and monitor printing and graphics orders.
  • Take and write the staff meeting minutes.
  • Submit motor pool rental requests.
  • Plan and carry out special projects for department lead workers and supervisor.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other duties as assigned.

Supervision Statement:
Reports to and works under the general supervision of a division/department chair or other supervisor. Work is performed independently according to college and department policies, State and federal rules or regulations. A manager or program coordinator may assign work, provide work priorities and be available to answer questions or troubleshoot problems on a daily basis. Work is reviewed to assure conformance with policies and by results obtained.

This position may have responsibility to assign tasks, provide priorities, train and monitor the work of office support specialists, student assistants and volunteers.
Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that includes office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee be able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Work may require transporting materials up to twenty-five (25) pounds. Work safely.
